How to create a quotation and turn it into an order

In Jarbas, a quotation is an order marked as Quotation. It's recorded like any other order, but it doesn't count as a sale and doesn't deduct stock.

How to create one

  1. Build the order as usual: add the products and go to the checkout screen.
  2. Turn on the Quotation switch.
  3. Save.

Done. The order appears in the list with the Quotation status.

You can also start a quotation straight from Jarbas search, by looking for Add Quotation.

What's different while it's a quotation

  • It doesn't move stock.
  • The status is locked on Quotation — you can't change it.
  • It can't be merged with other orders.
  • The receipt prints as QUOTATION #number instead of RECEIPT. You share and print it the same way.

How to turn it into an order

  1. Open the quotation.
  2. Tap Edit Order.
  3. Turn off the Quotation switch.
  4. Save.

It's now a regular order: you can change the status, take payment and move stock.

The switch can only be changed while the order is Pendent. Once the order moves to another status, it stops being a quotation automatically.

A user who can only create quotations

If you have a salesperson who puts together proposals but doesn't close sales, turn on their permission:

Users › (pick the user) › Only quotations

For that user, every new order starts as a quotation and the switch is locked.

Two things to keep in mind:

  • The Record sales permission has to be on as well.
  • Turning on Only quotations turns off the Quick Sale permission.
